Company's personnel documents

The list of documents that an employee has to provide for employment:

  1. The passport
  2. Military Identity Card
  3. Education documents
  4. TIN
  5. Insurance certificate
  6. Compulsory medical insurance policy (VMI policy for foreign workers)
  7. Driving license and vehicle registration certificate (if the personal car is used for business purposes)
  8. Employment record book (information about work activities)
  9. References from the previous place of work (2 personal income tax, 182-N)
  10. Marriage certificate (if there is any)
  11. Birth certificate of children (if there are any)
  12. Bank details for transfer of wages

When hiring an employee, the following documents have to be signed:

  1. An employee's application for employment written by himself. The application for the employment of a remote worker additionally states “to hire a remote worker for the position”. The application for employment must contain the resolution of the head on the approval of employment.
  2. Order of employment with the signature of the employee on familiarization. In the order for employment, in the column “conditions for employment, nature of work”, “remote work” is indicated (drawn up and filled out by an accountant).
  3. Employment contract in 2 copies signed by the employee and the employer, one copy is transferred to the employee, the second remains in the personal file.
  4. An employee's application for the transfer of wages to a card with account details.
  5. Consent to personal data processing.
  6. List of Familiarization with local regulations.
  7. Additional agreement for vehicles (if necessary)
  8. Personal card of the T-2 form (issued and filled out by an accountant)
  9. Application for a SIM card
  10. Application for deduction for children (if there are any)
  11. Card for the issuance of inventory
  12. Liability agreement in 2 copies signed by the employee and the employer, one copy is transferred to the employee, the second remains in the personal file (if it is concluded in this position).
  13. Job description with a signature on employee familiarization (if there is any).
  14. Agreement on non-disclosure of commercial secrets (if necessary for this position).

When hiring, it is mandatory to familiarize the employee with all local regulations of the company, job description with signature.

It is necessary to obtain an employment record book from the employee if he has already worked before.

  1. Internal labor regulations (Article 189 of the Labor Code of the Russian Federation) - mandatory.
  2. Regulations on commercial secrets (Federal Law of July 29, 2004 N 98-FL "On Commercial Secrets").
  3. Job descriptions (letter of Rostrud dated 09.08.2007 No 3042-6-0) - job descriptions are required if labor functions are not prescribed in employment contracts.
  4. Regulations on the сcompensation of employees, Regulations on bonuses and material incentives for employees (section VI of the Labor Code of the Russian Federation). - mandatory for bonuses, payment variability, etc.
  5. Regulations on the processing of personal data of employees (Article 86 of the Labor Code of the Russian Federation). - mandatory.
  6. Regulation on labor protection (section X of the Labor Code of the Russian Federation). – mandatory.
  7. Instructions on electrical safety, fire safety and labor protection (section X of the Labor Code of the Russian Federation). – mandatory.
  8. Staffing table (Resolution of the State Statistics Committee of Russia dated 05.01.2004 No 1).
  9. Vacation schedule (Article 123 of the Labor Code of the Russian Federation, Resolution of the State Statistics Committee of Russia dated 05.01.2004 No 1).
